Microsoft Teams has a built in Voicemail facility
By default if you don’t answer a call within 30 seconds the caller will hear:
“Rob Pratt is currently unavailable please leave a message then hang up”.
In the Teams Calls screen, the person being called will see a call labelled as “Forwarded to voicemail”.
Here they can listen to the voicemail, Microsoft Teams also automatically types up a transcript of the call.
This is handy if you are in a meeting or on another call as you don’t need to listen to the voicemail.
If I call someone and they don’t answer, it is often quicker for me to leave a voicemail rather than switching to the chat window and typing a message to them.
There are a couple of voicemail settings that can be useful.
To access the settings, at the top-right corner of the Teams window click … then click Settings, then click Calls.
- Record a greeting – this allows you to record a custom message that people will hear before leaving you a voicemail. For example, if people are usually trying to contact you urgently, you might include on that message information about other ways they can contact you.
- Forward all calls to voicemail – this removes the 30 seconds of ringing and sends calls immediately to voicemail. If you are in a role where you are often not in front of your computer it makes it quicker for people to be able to leave you a voicemail.
